4. Who we share it with

We share data only where needed to run the Programme, with:

  • Shopify, which hosts letswspr.com and customer accounts and provides the platform for the portal data.
  • App host: Render (Render Services, Inc.), which hosts our portal application and its database in Frankfurt, Germany.
  • Email provider: Klaviyo, for the emails we send you about your account, quotes and orders.
  • Zoho Books, which we use for quotes, invoicing and accounting.
  • Suppliers and brands, who receive only what they need to quote, produce and deliver your order. That is usually item details and delivery information, and not your studio's wider projects.
  • Logistics, customs and installation partners, who receive delivery addresses, site contacts and phone numbers needed to deliver.
  • Professional advisers, banks and authorities, where needed for legal, audit or compliance reasons or where the law requires it.
  • Your studio. People in your studio can see project data held in your studio account, as set out in section 5.

We require service providers to protect your data and use it only for our purposes.

5. Studio-shared data

A studio account is shared. Owner, Designer and Procurement members of your studio can see the studio's projects, including client names, site addresses, quotes and comments. The studio Owner decides who is invited and can remove access. If you leave a studio, ask the Owner to remove you. Your name may remain on past activity records for the studio's history.

WSPR staff working on your quotes and orders can see your project data. Other studios cannot.

6. Client presentation links

If you use the client presentation feature (when available), anyone with the link can see what you chose to show. You decide what is included and who gets the link, and you can switch it off. We record basic usage, such as how many times a link was opened.

7. International transfers

Shopify and some of our other providers store or process data on servers outside the UAE. Suppliers and logistics partners may also be located abroad. When we transfer personal data outside the UAE, we do so in line with the PDPL, for example to countries or providers with adequate protection, or with contractual safeguards, or where needed to carry out your order.

8. How long we keep data

We keep data only as long as we need it.

Data Kept for
Application and account details While your account is active, then 2 years after last activity
Quotes, orders, invoices and payment records 5 years after last activity, to meet UAE commercial record-keeping requirements
Project and board data, including client details While your account is active, then 2 years after last activity, unless linked to an order we must keep
Trade licence file Same period as your application and account details
Log and usage data Only as long as needed for security and troubleshooting
Marketing preferences Until you withdraw consent

When the period ends we delete or anonymise the data. If you ask us to delete something we must keep by law, we will tell you and restrict its use.

9. Your rights

Under the PDPL you can ask us to:

  • tell you what data we hold about you, and give you a copy (access);
  • correct data that is wrong or incomplete (correction);
  • delete your data (deletion), where we have no duty or need to keep it;
  • restrict or stop certain processing (objection), including direct marketing;
  • withdraw consent you gave us, at any time;
  • transfer your data to you or another provider, where that applies (portability).

To use a right, write to b2b@wsprgroup.com. We may ask you to confirm who you are. We aim to reply within 30 days. If you are unhappy with our answer, you can complain to the UAE Data Office or the relevant authority.

If your data was entered by a studio about you (as a client contact, for example), you can also contact us, and we will deal with it with the studio where needed.

10. Security

We protect data with reasonable technical and organisational measures. These include access limited to staff who need it, login through Shopify customer accounts with one-time codes, encrypted connections, and limiting the data we send to suppliers and logistics partners. No system is completely secure. If a breach affecting your data occurs, we will notify you and the authorities as the law requires.

Please help by keeping your login private, removing team members who have left, and not uploading more personal data than needed.

11. Cookies

The portal runs on letswspr.com. Cookies and similar technologies are used as described in the letswspr.com store policy. They keep you logged in, remember preferences and help us understand how the site is used. You can control cookies in your browser settings, though some parts of the portal may not work without them.

12. Children

The Programme is for professionals. It is not directed at anyone under 18, and we do not knowingly collect their data.

13. Changes to this policy

We may update this policy. We will tell you by email or in the portal when we make a material change. The version you accepted is recorded against your application.
